Privacy Policy
1. WHO WE ARE AND WHAT THIS POLICY COVERS
Supreme CRMs LLC (“Supreme CRMs,” “we,” “us” or “our”) provides business websites, customer relationship management systems, software automation, artificial intelligence agents, implementation and related professional services. This Privacy Policy explains how we collect, use, disclose, store, retain and protect personal information when you use our website, submit an inquiry, request a consultation, sign a contract, pay for Services, receive our communications or interact with us as a prospect, customer or authorized business contact. Our client organizations also use CRM, messaging, website and AI systems that we build or support. When we process personal information within a client's environment on that client's instructions, the client generally determines its own contact lists, outreach purposes, lawful basis and disclosures; the client's privacy policy may also apply. We do not automatically become the owner of a client's contact or marketing list by building its system. If you are contacting us about information held by one of our clients, we may refer your request to that client, assist them where agreed and legally required, or respond to our own processing as applicable.
2. INFORMATION WE COLLECT
Depending on your relationship with us, we may collect: • Identifiers and contact details: name, business name, position, email address, telephone number, mailing or billing address, and account identifiers. • Inquiry and sales information: service interests, requested demonstrations, consultation details, lead-source attribution, form answers, meeting notes, proposal and communications history. • Account, purchase and financial records: chosen packages, invoices, payment/transaction references, subscription status, billing contacts, invoices and service history. Payment-card details are generally processed through PCI-focused third-party processors such as Stripe; we may receive limited card brand/last-four and transaction information rather than full card numbers. • Operational and client-provided content: company knowledge documents, SOPs, branding, website content, business rules, support tickets, integration metadata, user identities, workflows, calendar data and other material you authorize us to access. • Digital usage and device information: approximate network location, IP address, browser/device type, page views, referral information, cookie IDs, technical logs, security events and analytics/advertising attribution where relevant and enabled. • Communications and consent evidence: emails, SMS or chat messages, call/meeting metadata, form submissions, opt-in/opt-out status, consent timestamps, consent language version, acquisition source, user or device metadata where available, and support interactions. • AI-related data: prompts, agent conversations, outputs, feedback, connected system actions and retrieved content submitted through an enabled AI service, subject to the relevant configuration and agreements. We do not intentionally request sensitive personal information unless it is reasonably necessary for an agreed service and appropriate protections and authorizations are in place. Please do not submit medical, government identification, financial account secrets, passwords or other regulated information through general inquiry forms or unsecured communications.
3. SOURCES OF INFORMATION
We obtain information from you; authorized company users and representatives; our own websites/forms and marketing channels; referrals; public business directories and professional websites used for legitimate B2B prospect research; connected CRM, scheduling, payment, messaging or support tools; and approved third-party platforms or integrations. Information obtained from public or purchased data sources is not automatically treated as evidence of consent to marketing calls or text messages. We seek to keep contact records accurate and honor applicable marketing restrictions.
4. HOW WE USE INFORMATION
We process information to: reply to inquiries and provide requested consultations; prepare proposals and scope work; establish and authenticate accounts; deliver websites, CRM systems, AI agents and workflows; process authorized billing, invoices, subscriptions, tax and payment records; provide support, training, troubleshooting, vendor coordination, contract administration, auditing and compliance; send operational notices about service delivery or security; analyze legitimate business performance and improve our services; protect accounts against misuse, fraud and security incidents; comply with legal requirements; and, where permitted and chosen, send Supreme CRMs marketing communications. We use marketing preferences and consent records to restrict outreach and honor opt-outs. Where required by applicable law, we seek consent before a purpose materially incompatible with the original disclosure.
5. SMS TEXT MESSAGING: CONSENT AND OPT-OUT
If you separately opt in to receive Supreme CRMs SMS messages, the program described in the specific opt-in form may include consultation reminders, requested follow-up, customer-service updates, or promotional communications about Supreme CRMs packages, products and offers. Marketing/promotional SMS requires the applicable express consent, including written consent where required. We identify Supreme CRMs as sender and disclose the purpose of the program near the opt-in control. Signing a contract, submitting a contact form, providing a phone number or accepting this Privacy Policy does not by itself constitute consent to promotional SMS. Marketing SMS consent is optional and is not a condition of purchase. Message frequency varies depending on the program and your interactions. Message and data rates may apply. Reply STOP to opt out of future messages from that messaging program; reply HELP for help, or email info@supremecrms.com. We honor reasonable opt-out requests received through other recognized channels, maintain suppression/consent records and send only legally permitted confirmation or necessary nonmarketing notices after opt-out. Consent to Supreme CRMs messages does not authorize messages from unrelated clients or third parties. Wireless carriers are not responsible for delayed or undelivered messages. IMPORTANT MOBILE DATA COMMITMENT: We do not sell or share mobile phone numbers, text-messaging originator opt-in data or messaging consent information with third parties or affiliates for their own marketing or promotional purposes. Limited disclosure to our messaging platform providers, aggregators, carriers and other service providers may occur solely as necessary to deliver and administer the messages, protect accounts or comply with law, and not for those providers' independent marketing.
6. EMAIL MARKETING AND UNSUBSCRIBE
We may send marketing emails to business contacts and other recipients when permitted by applicable law and their preferences. Marketing emails will identify the sender, avoid misleading subject lines, include an appropriate postal address and provide a working unsubscribe method. You may unsubscribe via the email link or contact info@supremecrms.com. We honor opt-out requests within the period required by law, currently no longer than 10 business days under CAN-SPAM. Email marketing preference is managed separately from SMS consent. Transactional or relationship emails necessary for purchases, security, legal notices or service administration may continue where allowed and will not be repurposed as disguised advertisements.
7. OTHER CONTACT CHANNELS
If you book a call, request a demo or ask us to follow up, we may respond through the channel you select and as otherwise permitted by law. Automated calls, prerecorded messages or AI-assisted calls are subject to applicable consent, identification and disclosure requirements. For client-configured campaigns, each client is responsible for required permissions, approved scripts and opt-out handling. We do not assume that one channel's consent transfers to another.
9. HOW WE DISCLOSE INFORMATION
We may disclose information to: trusted service providers that host, secure, process, communicate and support our services (including CRM, payment, cloud, AI, website, analytics and communications vendors); authorized business team members and contractors operating under appropriate confidentiality obligations; client organizations where we act as their processor/service provider; professional advisers, accountants and insurers where needed; regulators or courts where legally required; and successor entities in a lawful business transaction subject to applicable obligations. Sharing is limited to a legitimate service or legal purpose. We do not sell client contact databases supplied for system implementation. SMS opt-in and phone-number information is not shared for unrelated third-party advertising or lead resale. Analytics/advertising disclosures, if any, must match the tools actually deployed and applicable choices.
10. AI SYSTEMS AND CLIENT KNOWLEDGE
Client-provided knowledge bases, documents, prompts, transcripts, AI instructions and conversation history may be processed by the client's selected n8n, Slack, CRM and model/API providers to perform agreed functions. We apply the permissions and separation agreed for public-facing and internal agent access, but clients must decide which sources are appropriate to expose, grant authorized access and verify high-impact outputs. Third-party AI providers may have independent processing terms, retention settings and security controls. We do not intentionally use identifiable Client Data to train Supreme CRMs' own general-purpose commercial AI models without a separate written agreement. We do not promise that external providers have disabled all model-training uses unless those configurations and contracts have been verified. Clients should avoid unauthorized highly sensitive information in chatbots or knowledge bases.
11. DATA SECURITY AND ACCESS CONTROL
We seek to use reasonable administrative, technical and physical safeguards appropriate to the nature of data and the systems involved, including role-based access, controlled credentials, vendor security controls, safe data transfers, backup practices and monitoring as appropriate for the contracted service. No internet transmission or storage is guaranteed completely secure. Clients retain responsibility for their own staff permissions, endpoint security, approved content and third-party accounts. If a data incident occurs, we will assess it and notify relevant parties as required by applicable law and contractual commitments.
12. DATA RETENTION AND DELETION
We retain personal information for as long as reasonably needed for disclosed purposes, active customer relationships, consent/suppression records, dispute resolution, security investigation, recordkeeping and legal obligations. Retention periods vary by data category, provider and service configuration; a fixed universal retention period is not promised. Client-controlled CRM and AI records may remain in the client's vendor accounts after our Services end, subject to those vendors' retention settings. We will respond to valid deletion requests and applicable account termination obligations, recognizing lawful exceptions for invoices, required records, security and suppression lists. Backup copies may be removed on their ordinary retention schedule.
13. YOUR PRIVACY CHOICES AND RIGHTS
You may contact info@supremecrms.com to request access to, correction of or deletion of personal information we control, to ask about data use, to object to or opt out of certain disclosures/targeted advertising where applicable, or to withdraw previously given consent. We will verify requests as reasonably necessary and respond within legally applicable periods. Some state laws, including Texas' privacy law where it applies to our particular operations, provide additional rights to data access, correction, deletion, portability, and opting out of certain data sales, targeted advertising and qualifying profiling. If a legally required appeal process applies, submit an appeal by replying to our decision email with “Privacy Appeal” in the subject; we will review and respond as required. We will not unlawfully discriminate against you for exercising rights. Requests about one of our clients' own CRM records may need to be directed to that client as controller. For SMS, reply STOP to unsubscribe; for marketing email, use the message's unsubscribe mechanism.
14. PUBLIC BUSINESS INFORMATION AND B2B PROSPECTING
Our business development teams may review publicly available company websites and directories to evaluate whether a business might benefit from our services. Contact details obtained this way may be added to internal prospecting records when legally permissible. A published business phone number is not proof that the number owner agreed to automated marketing texts or calls; any marketing campaign must comply with applicable permission, do-not-contact and suppression obligations. Businesses and individuals may ask us to update or suppress their information by emailing info@supremecrms.com.
15. INTERNATIONAL ACCESS AND THIRD-PARTY INFRASTRUCTURE
Our operations and certain service providers may process information in the United States and other locations where their infrastructure or support teams operate. Protections and legal rights may differ by jurisdiction. Where cross-border privacy law applies, we will implement required contractual and other safeguards as appropriate to the processing. We are a U.S.-focused B2B services company and do not represent that every international regulatory framework applies to or is covered by our standard Services.
16. CHILDREN AND SPECIALIZED DATA
Our business website and offerings are intended for adults and organizations, not children younger than 13. We do not knowingly solicit information directly from children under 13 for our own marketing. If we learn that we have collected such information improperly, we will take appropriate steps under applicable law. Client industries that handle medical records, financial account data, education records or children's information may require distinct compliance, contracts, vendor configurations and safeguards; those are not included by default in an ordinary package.
17. CHANGES TO THIS POLICY
We may update this Policy when our products, vendors, data practices or legal obligations change. We will post the current version and effective date and give additional notice where required for material changes. We will not treat prior SMS marketing consent as automatically extending to a new sender, unrelated program or materially different purpose.
